Giving alumni access

The Career Center is rich in content for your alumni and you may want to give them access to your platform. Wondering how to go about it? In this article, you will find out the different ways that alumni can access the platform. You can also find all our communication kits for alumni.

Regardless of the type of authentication set up to access your Career Center, we recommend that you first create an "Alumni" course/programme from the Programmes module of your Career Center (Note that only super-administrators have access to the Programmes module). Recent graduates and alumni will be able to register in this programme, which will allow you to :

  • target content (events, job ads, articles) on the Alumni programme
  • generate statistics on the Alumni programme

Then choose the type of authentication you want for your alumni, depending on the system set up in your Career Center for current students (see among the four possibilities below the one that suits you).

1. My Careers Center has Open Access

I can give access to the alumni simply by giving them the Career Center link, so that they can create an account

  • INTERACTIVE TUTORIAL - To share with your alumni

If people who should not be registered become registered, we can delete the accounts (send once a year the list of email addresses of the accounts to be deleted to your dedicated contact). We would like to reassure you, this happens very rarely and this solution is widely used by our partners.

2. My Students Log in with email domain validation (e.g. @uni.edu)

Scenario 1: Students use a University email address to log in to your Career Center, which is accessible to them for life

Alumni will be able to continue to access or register for the Career Center from the registration link.

They can change their University email address to their personal email address at any time from their Settings.

Scenario 2: Students use an University email address to log into your Career Center, which they lose after a period of time

For students who already have an account in your Career Center, we invite you to communicate with them to change their University address to their personal address in their Settings.

For newly enrolled students, you can open the Career Center to everyone for a given period of time (for example: 1 week, 1 month, etc.). To do this, contact your Success Manager and tell him/her the start and end days of this opening to all. You can then tell alumni to create an account during this period.

If people who should not be registered become registered, we can delete the accounts (send once a year the list of email addresses of the accounts to be deleted to your dedicated contact). We would like to reassure you, this happens very rarely and this solution is widely used by our partners.

3. My Students Log in through a webservice

Scenario 1: Graduates are removed from the webservice and will have an email address in University format as alumni

The simplest solution is to use email domain validation. Only users with an address in this format will be able to receive the email allowing them to be authenticated.

  • Advantages: Quick set-up, user control at registration

For students who already have an account on your Career Center, we invite you to communicate with them so that they modify their email address in their settings.

Scenario 2: Graduates no longer have an University address but you are able to retrieve the personal email addresses of your graduates

The most appropriate solution will be to keep your webservice and update the database with the new personal addresses.

  • Advantages: Be able to keep control of access to registration and connection
  • Disadvantages: Need to update the addresses in the database

For students who already have an account on your Career Center, we invite you to communicate with them so that they can modify their email address in their settings.

4. My Students Log in via SSO

Scenario 1: Alumni are kept in our database in the same way as our students

In this case, the transition is transparent and nothing changes.

Scenario 2: Students leave the SSO database but still have an alumni email address

The solution is to use an email domain validation. Only users with an University address will be able to receive the email allowing them to authenticate.

  • Advantages: Quick to set up, user control at registration
  • Disadvantages: Graduates will have to use a different url to access the career centre: permalink.jobteaser.com/en/users/sign_in ("permalink" should be replaced by your domain name)

For students who already have an account on your Career Center, we invite you to contact them so that they can modify their email address in their settings.

Scenario 3: Alumni no longer have a University address

The solution will be to not set up any filtering and to leave the Career Center freely accessible via a specific link for alumni.

  • Advantages: Quick to set up
  • Disadvantage: Graduates will have to use a different url to access the career center: permalink.jobteaser.com/en/users/sign_in ("permalink" should be replaced by your domain name)

For students who already have an account on your Career Center, we invite you to contact them so that they can change their e-mail address in their settings.

If people who should not be registered become registered, we can delete the accounts (send once a year the list of email addresses of the accounts to be deleted to your dedicated contact). We would like to reassure you, this happens very rarely and this solution is widely used by our partners.
